Job Description
The successful candidate will be responsible for executing the goods receipting of all National Office non-stock items, services, and finished products for resale.
Minimum Requirements
- Matric
- Diploma (Finance, Procurement, SCM/Logistics)
- 6-12 months experience in a Finance Admin role
- SAP knowledge would be advantageous
- Knowledge of the Procure to Pay process
- Experience working on MS Office and Excel
Duties & Responsibilities
Daily Operational Execution
- Receipting of non-stock items, service items, and finished product for resale in a compliant and timely manner.
- Ensure compliance with established procedures and company standards including levels of authority.
- Maintain high levels of housekeeping.
Non-Stock Items
- Verify that a Purchase Order (PO) exists for the delivery being received.
- Check the delivery note against the physical stock for item correctness, quantity, and visual quality.
- Return stock to the vendor if no PO exists by issuing a goods returned advice.
- Sign the supplier delivery note and ensure it is processed and filed appropriately.
Services
- Ensure service invoices and job cards are signed by the End User or Cost Centre Owner.
- Submit invoices and job cards to Operational Procurement for receipting.
- Capture receipts on the ERP system.
- Create service entry sheets on the ERP system after receipt.
Receipting of Finished Product for Resale
- Follow the same principles as non-stock items.
- Ensure batch numbers are accurately recorded.
- Complete receipting within 24 hours of receiving supporting documentation.
ERP Processing
- Create and capture goods receipts on the ERP system against the PO.
- Include the delivery note number on the Goods Receipt entry.
- Write the Goods Receipt number onto the delivery note and file it appropriately.
Effective Teamwork and Self-Management
- Take ownership and accountability for tasks.
- Ensure quality and productivity standards are consistently maintained.
- Inform relevant parties if tasks or deadlines are not met and provide resolutions.
- Demonstrate willingness to help others and “go the extra mile” to meet team targets.
KPIs
- Compliance with receipting policies and procedures.
- Accuracy of documentation and data.
- All invoices and delivery notes receipted against an authorized PO within 24 hours.
- Timeous expediting of purchase orders.
- Resolution of finance queries within 48 hours.
- No open purchase orders after the delivery date on BI Cube and SAP systems.
Adhoc Administrative Duties
- General administrative duties.
- Administration of 3G data cards for Group Services and Consumer Division:
- Issue 3G cards on fully approved workflow requests.
- Order 3G cards from preferred service providers.
- Maintain a master list of allocated 3G cards.
- Address internal customer queries and facilitate communication with service providers.
