Job Purpose:

The Stores Controller is responsible for implementing continuous improvement activities related to logistics and warehousing of incoming/outgoing products.

 

This role involves procuring, receiving, storing, and distributing products within the warehouse/store, sorting goods and materials, and managing all inventory functions including inventory accuracy, stock count, stock control, and completion of required paperwork.

 

Key Performance Areas:

  1. Receiving of Stock:
    • Verify quantity/quality delivered against the amount ordered.
    • Pack/shelve stock into different store sites within the YM Store.
    • Create inventory numbers and plan/control received stock.
    • Ensure accurate quantities of products were received by comparing appropriate paperwork.
  2. Replenishment of Stock:
    • Determine the Economic Ordering Quantity and the Re-order point level to avoid out-of-stock situations.
    • Manage the procurement process through tendering and 3-quote processes.
    • Purchase goods/services according to service level agreements.
    • Negotiate with suppliers to achieve the best value for money.
    • Handle escalated/emergency procurement situations effectively.
  3. Issuing of Stock:
    • Print picking slips and pick items to be issued.
    • Ensure all dispatched stock is correct.
    • Issue stock out of the system (Microsoft Dynamics).
  4. Stock Control:
    • Perform routine stock counts to ensure accurate inventory.
    • Conduct annual physical stock counts.
    • Regularly monitor and update inventory records.
  5. Administration and Filing:
    • Maintain proper filing systems for all Purchase Orders and Goods Returned Notes.
    • Sort delivery notes and invoices according to Necsa group entities.
    • Generate system reports as needed.
    • Ensure the operating environment is clean and safe.
  6. SHEQ Management:
    • Complete BBS observations to prevent injuries.
    • Ensure material handling follows best practices.
    • Maintain safety standards for Personal Protection Equipment (PPE).

 

Key Knowledge & Skills:

  • Receive stock from suppliers and inspect goods.
  • Capture information regarding stock received on the financial system.
  • Generate Goods Received Voucher (GRV) and enter relevant details.
  • Tag and record inventory numbers, work pack numbers, and store information.
  • Ensure correct issuing of stock through knowledge of specific items.
  • Conduct scheduled stock counts quarterly and annually.
  • Operate heavy vehicles, forklifts, and overhead cranes.
  • Provide stock movement reports to Finance when requested.
  • Adhere to ISO 9001 and SHEQ requirements.
  • Knowledge of Advanced Metrology principles and Necsa Policies and Procedures.

Minimum Qualifications:

  • At least a 3-year Diploma in Logistics, Warehousing, or Supply Chain Management from a Tertiary Institution.
  • Valid code 10 driver’s license.
  • Computer literacy.
  • Overhead crane and forklift licenses.

 

Minimum Experience:

  • 2-4 years of experience in Logistics, Warehousing, or Supply Chain Management.
  • General store/warehouse experience.
  • Working knowledge of Solomon ERP programme and Necsa’s Supply Chain Management procedure.
  • Experience in Medical or Pharmaceutical Stores is advantageous.
